SUMMARY AND BACKGROUND OF SUBJECT MATTER:

The current Joint Use Agreement (JUA) between the Town of Erie and St. Vrain Valley School District (SVVSD) expired on July 31, 2016. With the increasing demand of recreation services for our community the use of JUA between the Town and SVVSD serves to maximize services through the use of additional facility spaces in our local schools.
The proposed JUA is a three year agreement and identifies the available facilities, maintenance and supervision expectations, fee waiver, and priority use guidelines. Staff of the Parks & Recreation Department has been working with SVVSD staff to revise certain provisions of the previous JUA and have completed a mutually beneficial agreement that addresses the utilization of facilities in the most efficient manner. The changes made to the JUA are as follows:
* Addition of the use of volunteers as building supervisors for Town programs (potentially saving the Town $7,000 per year)
* Updating the SVVSD point of contact
* Elimination of the two week minimum for the Change of Availability Notification (this was requested from St. Vrain Valley District due to inclement weather closures)
The agreement was approved by the Board of SVVSD on August 10, 2016 and is attached here for approval. The term of the agreement will be from August 24, 2016 through August 31, 2019.
